Job Title: Events/Communications Coordinator

Exemption Status: Non- Exempt

Reports To: Communications Manager

Effective Date: November 2018

Essential Functions

o Coordinate with internal sales and client services teams to plan, execute and measure client-facing, broker-related and internal events
o Develop event concepts with internal and/or external team
o Coordinate and review event materials (printed materials and giveaways)
o Develop invitation lists to ensure targeted inclusion of priority relationships
o Develop and distribute invitations
o Ensure onsite support during events
o Maintain yearly event calendar for KTB and disseminate to associates
o Handle all event logistics to include: reserve meeting rooms, order food as needed(work with remote and offsite locations), track and report meeting attendance, obtain survey feedback, maintain meeting documentation, coordinate event set-up and AV needs, giveaways (travel by car will be required)
o Adhere to event budget
o Ensure necessary credits are obtained for events (CE Credits, SHRM, HRCI credits, etc.)
o File new courses and/or instructors for approval with the appropriate states
o Schedule the dates/locations of courses
o Submit the rosters for credits once a course is completed
o Assist in the development, distribution and maintenance of all print and electronic communication including but not limited to newsletters, brochures, and company websites

o Maintain templates and RFP’s to ensure consistency in internal and external brand

o Manage broker, client, and prospect lists and update at least monthly (check bounce backs and oversee data clean up)
o Assist with creating and distributing electronic communications to clients, brokers, and KTB associates, managing a weekly/monthly distribution calendar
o Participate in client onboarding process (e-mails, welcome calendar, etc.)
o Attend monthly sales, administrative, account executive meetings and other training meetings
o Assist in creating social media and analytics for all digital channels – Facebook, Twitter, LinkedIn
o Develop content in collaboration with Communications Manager that promotes the company and various departments across all channels
o Measure and report on the performance of all digital marketing campaigns
o Identify and monitor trends in social media, including but not limited to tools, applications, design and strategy
o Design and prepare digital communications under direction of Communications Manager(Email marketing)
o Coordinate regular, timely email communications with clients and broker partners using our email marketing tool – Constant Contact
o Track email metrics and compile monthly performance reports
o Proofread emails for clarity, grammar, and spelling
o Optimize email campaigns using personalization, A/B testing

• Sincere commitment to work collaboratively with all groups, including staff, clients, brokers,prospects
• Self-starter, able to work independently
• Intermediate MS Office skills, especially in Excel and Powerpoint
• Experience with Mail Chimp and/or Constant Contact
• MS Publisher experience preferred, but not required
• Experience with InDesign and Photoshop preferred but not required

EDUCATION AND EXPERIENCE: 

Bachelors Degree in communications, journalism, advertising, public relations or related field.  One or more years’ of related experience in a marketing and/or communications field including developing marketing and communications programs and events planning.
